How much does an AI receptionist cost in 2026?

AI4 min read

An AI receptionist costs anywhere from about $25 a month for a basic subscription tool to a few hundred dollars a month for a white-label setup configured around your business, plus a setup fee for the custom option. On top of that you pay for usage: phone minutes and the AI model that does the talking. Those usage costs are small per call, but they grow with your call volume, so they are worth understanding before you choose.

This guide breaks down where the money goes, so you can compare quotes properly.

What are you actually paying for?

Every AI receptionist, whatever the brand, is built from the same parts:

  • A phone line. A number that receives calls, from a provider such as Twilio.
  • A speech model. The AI that listens, understands and talks back in real time.
  • The receptionist logic. Your business rules, your calendar connection, slot holds, confirmations and handoffs.
  • Setup. Somebody has to teach it your services, hours and rules, and test it.

Subscription tools bundle all of this into one monthly price. Custom and white-label setups usually split them out, which is less tidy on paper but lets you see each cost.

The phone line: cheaper than you think

Phone minutes are the smallest part of the bill. As of November 2026, Twilio's US voice pricing lists:

  • Local number: $1.15 a month
  • Receiving a call on a local number: $0.0085 a minute
  • Toll-free number: $2.15 a month, with inbound calls at $0.022 a minute

So 500 minutes of inbound calls on a local number costs a little over $4 in phone charges. SMS confirmations are billed per message on top.

The AI model: the biggest usage cost

The realtime speech model is usually the largest cost per minute, because it is doing the listening, thinking and talking. Prices vary by provider and model and have been falling steadily, so check the provider's current pricing page rather than trusting an old blog post. The things that push this cost up are long calls, long instructions and callers who wander off topic.

Subscription tools vs custom setups

Subscription AI receptionists are the fastest way to start. Published plans for small businesses commonly fall between about $25 and $300 a month, usually with a cap on calls or minutes and overage charges above it. The trade-off is flexibility: you get the vendor's features, the vendor's integrations and often the vendor's branding.

Custom and white-label setups cost more up front, because someone configures the receptionist around how your business really takes bookings: your appointment types, triage rules, service area and transfer rules. You typically pay a one-off setup fee and a monthly plan, and the receptionist runs under your own brand. When usage is billed to your own Twilio and AI accounts, you see the real cost of every call with no markup.

How does that compare with a human answering service?

Human receptionist services charge far more per minute, because a person is on the line. Ruby's published plans in November 2026 range from $250 a month for 50 minutes to $1,725 a month for 500 minutes. The 200-minute plan at $720 works out at $3.60 a minute. For booking calls and routine questions, an AI receptionist costs a small fraction of that. For calls that need empathy, judgement or a long conversation, a person is still worth paying for.

What drives the price of a custom setup?

  • How many appointment types and rules it has to learn
  • Which systems it connects to, from Google Calendar to practice management software
  • How many channels you want: phone only, or phone plus SMS and website chat
  • How many locations, each with its own staff, hours and rules
  • Custom logic, such as urgent triage or service area checks

How to compare quotes

Ask every provider the same five questions:

  1. What is the monthly price, and what is the cap on calls or minutes?
  2. What happens, and what does it cost, when I go over the cap?
  3. Are phone and AI usage included, marked up or billed to me directly?
  4. Which of my tools does it connect to, and is that extra?
  5. Does it run under my brand or yours?
