AI receptionist for HVAC, plumbing and home services

An AI receptionist for a home services business answers every call while your techs are out on jobs, finds out what the problem is, checks the address is in your service area and books the visit. Emergencies like a burst pipe or no heat in winter go straight to your on-call tech, so the jobs that matter most never end up in voicemail.

What it handles

  • New service calls and repair bookings
  • Emergency calls, flagged and passed to your on-call tech
  • Service area checks by ZIP code or town
  • Estimate and maintenance visit requests
  • Rescheduling and 'when will the tech arrive' questions
  • Calls that come in at night, at weekends and while you are on a job

What goes to your team

  • Detailed pricing and quotes for larger jobs
  • Complaints and warranty disputes
  • Anything you add to the transfer list

The phone rings while you're under a sink

In a trades business, the person who answers the phone is usually the same person doing the work. Calls come in while you're on a roof, in a crawl space or driving between jobs. Homeowners with a real problem don't leave a voicemail and wait. They call the next company on Google until somebody picks up.

An AI receptionist answers every one of those calls, day or night, and turns them into booked jobs on your calendar.

Emergencies first

Not every call is equal. A dripping tap can wait until Thursday. A burst pipe can't. Before launch you write down what counts as an emergency for your business, and the receptionist follows it on every call:

  • Emergency: flagged straight away and passed to your on-call tech, with the address and the problem already written down
  • Routine: booked into the next open slot that fits the job
  • Outside your area: told politely, so you don't drive an hour for a small job

Set up around how you work

We configure it for your business, not a template. That means your job types and how long each one takes, your service area, your call-out fee if you want it mentioned, your emergency rules and the people who should get transferred calls. It greets callers with your company name.

Connected to the tools you already use

The receptionist answers on a Twilio phone number, either a new one or your existing number forwarded to it. It books into Google Calendar or Microsoft Outlook and 365, sends email confirmations to the customer and your team, and can confirm by SMS too. Calls are handled in English. Every call is logged with a short summary, so you can see what came in while you were on a job.

What it won't do

It won't diagnose the problem over the phone or quote a price for a job it can't see. Those stay with you. What it does is make sure the customer is booked with you and not with the next company they would have called.

Common questions

Can it handle emergency calls at night?

Yes. You decide what counts as an emergency, for example no heat, no cooling in a heatwave or water leaking through a ceiling. Those calls are flagged and passed to your on-call tech right away. Routine calls get booked into the next open slot.

Will it quote prices?

Only the prices you give it, such as a fixed call-out or diagnostic fee. For anything that needs a site visit, it books the estimate and leaves the quote to your team.

Does it work with our field service software?

It books into Google Calendar or Microsoft Outlook and 365 today. If you schedule jobs in a field service app, we check what that app lets us connect to on the first call and tell you honestly what is possible.

Can it check whether a customer is in our service area?

Yes. Give it your ZIP codes or towns. Callers outside the area are told politely, and you can choose whether their details are saved anyway.

Can it run under our company name?

Yes. It is white-label, so it answers with your business name and sends confirmations from your brand.

What does it cost?

There is a one-off setup fee and a monthly plan. Phone minutes and AI usage are billed to you directly by Twilio and the AI provider, with no markup from us. See the pricing page for what affects the setup fee.
