AI receptionist for dental and medical clinics
An AI receptionist for a dental or medical clinic answers every patient call in a natural voice, asks what the patient needs, tells an urgent problem from a routine visit and books the appointment into your calendar before the call ends. Your front desk stops juggling the phone and the patient standing in front of them.
What it handles
- New patient bookings and check-up appointments
- Rescheduling and cancellations, with the freed slot offered to the next caller
- Urgent triage using rules your clinicians approve
- Opening hours, location, parking and what to bring
- After-hours and lunch-break calls
- Call-back details when a patient hangs up before booking
What goes to your team
- Clinical questions and medical advice
- Billing disputes and treatment cost negotiations
- Anything you add to the transfer list
Why clinics miss so many calls
The phones get busiest at exactly the times the front desk can't answer them: first thing in the morning, over lunch and late in the afternoon when patients are checking out. A missed call rarely becomes a voicemail. More often the patient rings the next clinic on the list and books there.
An AI receptionist picks up on the first ring, every time, including evenings, weekends and the half hour your receptionist spends on a difficult insurance call.
What a call sounds like
The patient talks normally and can interrupt, change their mind or ask a question halfway through. The receptionist asks what they need, checks your live calendar and offers real times. While the patient decides, it holds the slot so nobody else can take it. Once they say yes, the appointment goes into your calendar and both the patient and the clinic get an email confirmation.
If a patient hangs up before booking, their name, number and reason for calling are saved so your team can call back.
Set up around your clinic
Every clinic runs differently, so the receptionist is configured for yours rather than shipped with a generic script. Before launch we agree:
- Your appointment types, how long each takes and which clinician offers them
- Your triage rules, written with your clinicians, for what counts as urgent
- Your transfer rules, so clinical questions and anything sensitive go straight to a person
- Your greeting and voice, under your clinic's name
Connected to the tools you already use
The receptionist answers on a Twilio phone number, either a new one or your existing number forwarded to it. It books into Google Calendar or Microsoft Outlook and 365 and sends email confirmations to the patient and your team. It also works as a talk button on your website, by SMS and in website chat, so patients can book the way they prefer. Calls are handled in English.
Built on a system already in use
This is the same system as Bookhatch AI, our white-label appointment setter for healthcare practices. Clinics run it under their own name. You can watch the Bookhatch AI demo to see a full booking from the first ring to the confirmation email.
From a business using it
“Our front desk was just constantly overwhelmed by the phones. Staff were missing patient calls, holds were too long, and we were dropping bookings left and right. We had Synaptalyte set up their Bookhatch AI system to act as our virtual receptionist. Now the AI answers the phone right away, figures out if a patient has an emergency or just a routine request, holds the calendar slot, and books it. Patients get their email confirmations instantly and my team can actually focus on the people in the room.”
Common questions
Can an AI receptionist really tell an emergency from a routine visit?
It follows triage rules that you and your clinicians write. For a dental clinic that might be swelling, bleeding that will not stop or a knocked-out tooth. When a call matches a rule, it books the earliest urgent slot or transfers the call to your team, depending on what you choose. It never gives medical advice.
Does it work with our practice management software?
It books into Google Calendar or Microsoft Outlook and 365 today. If your clinic schedules in practice management software, we check what that system lets us connect to on the first call and tell you plainly what is possible.
What about HIPAA?
Your clinic holds the accounts for the phone line and the AI model, so the agreements with those providers are in your name. Twilio and the main AI providers offer business associate agreements on eligible plans. We set the receptionist to collect only what booking needs and go through the details with you before anything goes live.
Will patients know they are speaking to an AI?
We recommend that the greeting says so, and you choose the exact words. Most patients care far more about getting booked quickly than about who books them.
Can it run under our clinic's name?
Yes. It is white-label, so it greets callers with your clinic's name and sends confirmations from your brand. Patients never see ours.
What does it cost?
There is a one-off setup fee and a monthly plan. Phone minutes and AI usage are billed to you directly by Twilio and the AI provider, with no markup from us. See the pricing page for what affects the setup fee.
